1. Who is responsible
Magellan Digital Solutions (“Magellan”, “we” or “us”) is the controller of personal information we handle for this website, business enquiries and appointments.
Magellan Digital Solutionsul. Pod Brzozami 2
03-995 Warsaw, Poland
hugh@magellandigitalsolutions.com
This notice covers this website and its consulting-service pages. Client projects involving CRM records, call recordings or other business data are scoped separately and subject to the applicable project instructions and data-processing arrangements.
2. Information we handle
- Enquiries
- Your name, email address, company or role, and the information you choose to send us by email. This may include a phone number or project details if you provide them.
- Appointments
- Contact details, your chosen appointment time, and any information you enter when booking through our Google Calendar link. We use this to arrange and manage the conversation.
- Technical information
- The hosting service may process IP addresses, browser and device information, request times, pages requested, and security or error logs to deliver and protect the website.
- Professional references
- Names, roles, companies, professional photos and recommendation excerpts shown in the client-work section. These come from supplied reference materials and public professional sources.
The current website has no enquiry form, newsletter sign-up, account area or file-upload feature built by Magellan. Reading these pages does not connect your CRM, email or other business systems.
3. Why we use it
- Responding and scoping work
- To answer questions, arrange calls and discuss a possible engagement. The legal basis is taking steps at your request before a contract, where applicable, or our legitimate interest in responding to business enquiries and communicating with business contacts.
- Running the website
- To serve the pages, manage access where the host requires it, resolve faults and prevent misuse. We rely on our legitimate interest in providing a reliable and secure website.
- Showing professional experience
- To present documented client work and professional references. We rely on our legitimate interest in explaining our services and experience, while respecting the rights of the people identified.
- Legal obligations and claims
- To keep records required by law, respond to valid legal requests, or establish, exercise or defend legal claims. The basis is the relevant legal obligation or our legitimate interest in protecting legal rights.
Where a particular activity relies on consent, we will explain that when asking for it. You can withdraw that consent without affecting earlier lawful processing. Visiting the website or booking a call does not automatically subscribe you to marketing.
4. Hosting, booking and other providers
OpenAI / ChatGPT Sites. OpenAI hosts this website. It processes hosted data to provide, maintain and support the service under the applicable Sites terms and data-processing agreement. It also handles information for its own platform services under its privacy policy. If the platform asks you to sign in, OpenAI processes the account and access information needed for that step.
Google Calendar. Booking buttons open a separate Google booking page. Information you submit there is processed to arrange the appointment and is also handled by Google under the terms and privacy information for that service. The calendar is linked, rather than embedded in these pages.
Email and professional support. Our email provider handles messages sent to our business address. Where necessary, relevant information may also be shared with professional advisers or authorities to meet legal obligations or protect legal rights. We do not sell personal information.
5. International processing
Our hosting, email and booking providers may process information internationally, including outside the European Economic Area. Processing locations depend on the service and the applicable account arrangements.
Where EEA transfer rules apply, an appropriate transfer mechanism is required, such as an adequacy decision or standard contractual clauses. OpenAI’s applicable data-processing agreement describes the safeguards for its handling of hosted data. Contact us if you would like information about the safeguards relevant to your information or how to obtain a copy.
6. How long we keep it
We keep enquiry and appointment information for as long as needed to respond, manage the discussion and any resulting business relationship. In deciding when it can be deleted, we consider whether the enquiry is resolved, whether follow-up is still reasonably expected, and whether records are needed for legal obligations or claims.
Professional references are kept while relevant to the experience shown on the site. Contact us to request a correction or discuss removal. Retention of technical records held by the hosting service is governed by the applicable service arrangements and provider policies; Magellan’s page features do not maintain a separate visitor database.
7. Keeping information secure
We use access controls and appropriate service-provider security measures to protect information against unauthorised access, loss or misuse. The website is served over HTTPS. Please use the privacy contact below if you believe information connected with the site has been exposed or sent to us in error.
8. Your rights and choices
Depending on the law that applies and the basis for processing, you may have rights to:
- Access your personal information and obtain a copy.
- Correct inaccurate or incomplete information.
- Request deletion or restriction of processing.
- Object to processing based on legitimate interests, including direct marketing.
- Receive or transfer information in a portable format where the right applies.
- Withdraw consent where processing relies on it.
Send requests to hugh@magellandigitalsolutions.com. We may need enough information to verify your identity and locate the relevant records. We respond within the period required by applicable law. Some information may need to be retained where a legal obligation or another lawful exception applies.
You can also complain to a competent data-protection authority, including the authority where you live or work. In Poland, this is the Personal Data Protection Office (UODO) ↗.
10. Updates and contact
We update this notice when our website or information-handling practices change. The date at the top shows the latest revision.
